The Charitable Organization “Eurasian Movement for the Right to Health in Prisons” (EMRHP, hereinafter referred to as the Organization) announces a call for selection of a service provider to deliver logistical and organizational support for events implemented by the Organization within the framework of its projects.

Service delivery period:

September 2026 – August 2028

Scope of Services

The selected service provider will be responsible for providing organizational and logistical support for the Organization’s events, including, but not limited to, the following types of services:

• coordination of participants’ travel, including booking air tickets, accommodation, local transportation, and providing related organizational support;
• liaising with hotels, conference venues, and other service providers;
• registration of participants and communication with them;
• preparation of logistical documentation and participant lists;
• collection and systematization of supporting documents required for project reporting;
• support in organizing hybrid events, where necessary.

The Organization reserves the right to change the dates, venue, format, duration, and other organizational aspects of the events in the event of force majeure circumstances, changes in project needs, donor requirements, or other objective factors.

By submitting a proposal, the applicant confirms its readiness to provide services, taking into account possible changes, and to respond promptly to the Organization’s requests.

Requirements for Applicants

Applicants must meet the following requirements:

• proven experience in organizing international meetings, study visits, trainings, conferences, or other events for at least 5 years;
• experience working with international organizations, donors, or non-governmental organizations;
• experience working with community representatives, including people living with HIV, people who use drugs, members of the LGBT community, people with experience of incarceration, and other key populations;
• fluency in Russian and working proficiency in English;
• experience in coordinating events involving representatives from several countries.
  
  Documents to be submitted for participation in the tender

To participate in the tender, the applicant must submit a duly completed application form, a completed financial proposal in Georgian lari, as well as the full set of documents required under the application form.

Proposals must be submitted no later than 2 July 2026, 18:00 Tbilisi time, to the following email address: t.palchun@emrhp.org

The subject line of the email must indicate: Tender Application for Logistical Support _ Name of Service Provider

The results of the selection process will be communicated to all tender participants by email.

Selection criteria for the winning applicant:

• relevant experience and qualifications;
• cost-effectiveness of the proposal;
• references and results of previous work;
• compliance of the proposal with the tender requirements.

Payment terms:

Payment will be made in accordance with the service agreement, based on an invoice issued by the service provider and a signed certificate of completion.

Payment shall be made in Georgian lari in two instalments: 90% as an advance payment and 10% after a signed certificate of completion.
