Position Overview

Position Overview
We are looking for an experienced Office Administrator & Director Assistant to provide comprehensive administrative and executive support to our Director. This role is pivotal in ensuring smooth organizational operations and enabling our leadership to focus on strategic initiatives. You will be responsible for managing schedules, coordinating meetings, handling correspondence, and overseeing office management functions.
Key Responsibilities
- Executive Support: Manage the Director’s calendar, schedule meetings, and coordinate travel arrangements
- Meeting Coordination: Prepare agendas, organize materials, take minutes, and track action items
- Correspondence Management: Handle emails, phone calls, and correspondence with professional discretion
- Office Management: Oversee office supplies, facilities coordination, and general administrative functions Document Management: Prepare reports, presentations, and maintain organized filing systems
- Stakeholder Liaison: Act as a communication bridge between the Director and internal/external stakeholders
Required Qualifications
- 4+ years of experience in an executive assistant or office administration role Excellent organizational and time-management skills
- Strong written and verbal communication skills in English and Russian.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- High level of discretion and confidentiality Ability to multi-task and prioritize effectively
- Proactive problem-solving attitude and strong attention to detail
- Bachelor’s degree in Business Administration or related field (or equivalent experience)
Preferred Qualifications
- Experience supporting C-level executives or board members
- Knowledge of project management tools (e.g., Asana, Monday.com, Trello) Familiarity with CRM systems and database management
- Understanding of business operations and strategic planning
