LUCENT GEORGIA is pleased to announce a vacancy for the position of Operational Team Fleet Personnel Officer
BASIC FUNCTION
The Operational Team Fleet Personnel Officer, also known as a Crew Coordinator, plays a crucial role in managing the day-to-day crewing operations for a fleet of vessels.
This position involves coordinating the recruitment, placement, and welfare of crew members, ensuring that vessels are adequately staffed with qualified personnel
who meet all regulatory and client requirements.
The Fleet Personnel Officer / Crew Coordinator is responsible for the efficient management, planning and coordination of crew activities for assigned vessels.
This includes: planning (with compliance company matrix), arranging crew changes, ensuring compliance with maritime regulations,
and maintaining up-to-date records of all crew members.
The role requires close collaboration with various departments, Vessel Operators/managers, vessel masters, and external agencies to ensure smooth crewing operations.

The Fleet Personnel Officer / Crew Coordinator is responsible for the efficient management, planning and coordination of crew activities for assigned vessels.
This includes: planning (with compliance company matrix), arranging crew changes, ensuring compliance with maritime regulations,
and maintaining up-to-date records of all crew members.
The role requires close collaboration with various departments, Vessel Operators/managers, vessel masters, and external agencies to ensure smooth crewing operations.
Responsibility:
Crew Coordination:
- Coordinate and manage crew changes for assigned vessels, including arranging travel, visas, and accommodations.
- Ensure that all vessels are staffed with qualified and certified crew members according to client requirements and regulatory standards.
- Communicate with Vessel Operator / Manager, vessel masters and senior officers to understand crewing needs and address any issues related to crew management.
Placement:
- Assist in the recruitment and selection of crew members, ensuring that candidates meet the required qualifications and experience levels.
- Arrange medical examinations, and other pre-employment checks for prospective crew members.
- Ensure timely (according to initial planning) and accurate placement of crew members on vessels, coordinating with the recruitment team and other stakeholders as needed.
Compliance and Documentation:
- Ensure that all crew members have the necessary certifications, licenses, Flag Documents and all other documents in accordance with international maritime regulations (e.g., STCW, MLC).
- Maintain accurate and up-to-date records of crew members, including contracts, certifications, medical records, and personal details – In accordance with the latest GDPR regulations.
- Prepare and verify crew documentation required for port clearances, audits, and inspections.
Crew Welfare and Support:
- Provide support to crew members regarding contracts, pay, leave schedules, and any personal or professional concerns.
- Address any issues or grievances raised by crew members and ensure that they are resolved in a timely and fair manner.
- Coordinate with shore-based welfare services and agencies to provide assistance to crew members in need.
Client Communication:
- Maintain regular communication with clients, vessel owners, and ship managers to ensure that their crewing needs are met.
- Provide updates on crew movements, changes, and any issues that may impact vessel operations.
- Act as a liaison between the crew and other departments, such as HR, payroll, and operations, to ensure seamless coordination.
Operational Efficiency:
- Monitor and manage crew rotations, ensuring that crew changes are planned and executed efficiently to minimize disruption to vessel operations.
- Assist in the development and implementation of crewing policies and procedures to improve operational efficiency.
- Analyze crew management data to identify trends and areas for improvement.
Emergency Response:
- Be prepared to respond to emergencies involving crew members, such as medical emergencies or accidents, and coordinate the necessary actions.
- Ensure that all emergency contact information is up-to-date and that emergency procedures are communicated to all relevant parties.
Reporting and Record Keeping:
- Prepare regular reports on crew activities, including crew movements, compliance status, and any issues or incidents.
- Ensure that all records are maintained in accordance with company policies and legal requirements.
Qualifications and Experience:
- Bachelor’s degree in Maritime Studies, Human Resources, Business Administration, or a related field.
- 2-5 years of experience in crewing, fleet personnel management, or a related role in the maritime industry.
- Knowledge of international maritime regulations, including STCW and MLC.
- Experience with crew management software and systems is an advantage.
Skills and Competencies:
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Attention to detail and a high level of accuracy.
- Ability to work under pressure and handle multiple tasks simultaneously.
- Proficiency in MS Office Suite and crew management software.

Working Conditions:
Full-time position, primarily office-based with occasional travel to client sites.
Workplace, Batumi, Georgia – Gogebashvili street
May require flexibility in working hours, especially during crew changes or in response to urgent operational needs.
