FINCA Bank Georgia is announcing a vacancy for the position of  Records Management Specialist             

 

Department:           Administrative Department

Reports To:            Head of Administrative Department

Duty Station           Head Office   

 

 

Main Duties and Responsibilities

  • Ensures timely processing of incoming and outgoing correspondence; Maintains day-to-day documents registration, records-keeping and delivery to respective addressees;
  • Performs receptionist duties- welcomes guests, answers incoming calls and operates as a switchboard operator if required;
  • Inputs incoming and outgoing documents in the database;
  • Maintains documents flow register system, makes input of incoming and outgoing documents;
  • Collaborates with third parties involved in postage services and maintains positive relationship with vendors. Is responsible for contracts and documents management with postage services providers, including but not limited to contract extension, renewal, change of terms of services provision and etc.
  • Keeps letterhead letters and is responsible for their storage, registers their distribution to respective departments;
  • Provides exemplary customer service to all queries, internal and external customers;
  • Works on documents archiving as required;
  • Maintains confidentiality and privacy;
  • May replace and/or assist other administrative department staff member during holidays or if required during temporary workload;
  • Prepares and submits reports, documents as required and as per rigid schedule to Head of Administrative Department;
  • Provides entire organization with spring water supplies procurement and payment;
  •  Provides entire organization with cartridge charging and relevant services centralized;
  • Uploads waybills for goods in rs.ge  special system as per legislation;
  • Performs translation services verbal and written as required;
  • Performs other duties as required.  

 

Required qualification and skills:

  • University degree
  • 1 year of working experience in administrative work
  • Fluent in Georgian and English both in speaking and writing (good knowledge of Russian language is desirable)
  • Advanced knowledge of MS Office (MS Word, MS Excel, MS Outlook);
  • good typing and data-entry skills.
